Privacy Policy

Whitehaven Dental (2280 Carling Ave, Unit 2, Ottawa, ON K2B 7G1) respects your privacy. This page explains what information our website collects, why, and the choices you have. Your dental records at the clinic are protected under Ontario's Personal Health Information Protection Act (PHIPA) and our professional obligations.

Information you send us

When you use a request form, we collect your name, phone number, email address (optional), the reason for your visit and any message you write. We use it only to contact you about your request and to book your care.

• Your request is emailed to the clinic and kept in a private, password-protected system that only clinic staff can access. It is never stored in a public place on our website.
• Please don't include detailed medical history in the form. We'll ask what we need when we speak with you.
• We record how you found our website (for example a Google ad, a Google search or a Facebook post) with your request, so we know which advertising works.

Website statistics

We count page visits, phone-button taps, direction requests and form sends with our own privacy-friendly tool. It uses no cookies and does not store IP addresses. Each visit gets an anonymous code that changes every day, so no one can be identified or followed over time.

Google Ads measurement

We advertise on Google. Our pages use the Google tag so Google can tell us whether a visit that started with one of our ads led to a call or a request. This helps us avoid paying for ads that don't help patients find us.

• Google may set cookies in your browser for this purpose.
• If you arrived from one of our Google ads, the phone number on the page may show as a Google forwarding number. It rings our clinic directly; Google reports to us only that a call happened and how long it lasted. We do not receive call recordings.
• We do not send Google your name, phone number, email or anything you type in our forms, and we do not use advertising lists of our patients.

You can manage Google ad personalization at adssettings.google.com and block cookies in your browser settings. Google's own policy is at policies.google.com/privacy.

What we never do

• We do not sell or rent your personal information.
• We do not use your health information for advertising.

How long we keep it

We keep website requests only as long as we need them to respond and follow up. If you become our patient, your records are kept as required by Ontario law and the Royal College of Dental Surgeons of Ontario.

Your choices and questions

You can ask to see or correct the information we hold about you, or withdraw your consent, by calling 613-828-3129 or emailing info@whitehavendental.ca. If you are not satisfied with our answer, you can contact the Information and Privacy Commissioner of Ontario (ipc.on.ca).
